    This position is based in the company’s corporate headquarters site in Bedford, MA and reports into the Supervisor, Facilities.  This is a hands-on role responsible for handling shipping, receiving, copiers, security, safety, kitchen services, meeting room set-ups, office cleaning and maintenance and other facilities related requests and services. Involves interfacing with outside vendors of equipment and supplies and supporting all department initiatives.


    Safety/ Security:

    • Coordinates office security including overseeing card access system for HQ, ensuring all access points are secured as appropriate, keys are issued according to established guidelines and inventories of keys are maintained and controlled.
    • Coordinates Health, Safety and Environmental (HS&E) requirements including ensuring all standard precautions and evacuation plans are in effect (exit plans, fire warden training, fire drills, fire extinguisher inspections, first aid supplies).


    • Performs general maintenance providing assistance with furniture moves, carpentry and painting functions as needed.
    • Work with IS in the delivery and maintenance of print, copy, fax and AV services to the offices managed including being the first responder to trouble issues, notifying vendors or IS as appropriate if service or escalation is needed and procuring and stocking consumable supplies.


    • Performs all incoming and outgoing mail and shipping services.
    • Monitors the ISC facility request queue and ensure all tickets assigned are resolved as appropriate and in a timely fashion.
    • Notifies and follows-up with property manager, maintenance and cleaning companies to ensure building issues are resolved including, but not limited to: lights, hot/cold calls, keys, restroom and kitchen issues, and general building conditions.
    • Interfaces with outside vendors for copiers, refreshments, waste disposal, cleaning, offsite storage and other facilities related items.
    • Maintain appropriate level of office, stationary, shipping and kitchen supplies and place orders for replenishment while staying within budget.
    • Assists with carrying out all facility moves, adds, changes and maintenance related tasks through to completion.
    • Reviews invoices for services responsible for accuracy and approve for vendor payment in compliance with company purchasing guidelines.
    • Assists with reception/lobby activities. 
    • Maintains Bedford facility manual and maintain up-to-date facilities information on company intranet site (Sherlock).
    • Responds to after-hours emergencies and work with building management, IS and Aspen management as appropriate to minimize risk of loss of company assets or business interruption.
    • Works with manager on special projects, as required.


    • Degree preferred
    • 2 years of experience in facilities, building management or administration
    • Strong computer skills and proficiency using Microsoft Outlook, Excel, Word and PowerPoint
    • Proven organization, planning and prioritization skills. 
    • Proven excellent written, verbal communication, and interpersonal skills
    • Aptitude for building and maintaining business relationships. 
    • Ability to interface with people at all levels of the organization. 
    • Ability to manage multiple projects, tasks and assignments in a fast paced, exceedingly dynamic environment while adhering to strict timelines. 
    • Ability to occasionally work outside of regular business hours.
